InspectPro Privacy Policy

InspectPro is a field inspection and reporting application operated by InfraSynex Pty Ltd ("InfraSynex", "we", "us", or "our"). This Privacy Policy explains how we collect, use, store, disclose, and otherwise process information when you use the InspectPro mobile app, related cloud services, and the InspectPro website.

If you use InspectPro on behalf of an employer, contractor, government body, or other organization, that organization may control the workspace, reports, and project data created in or connected with your account. In those cases, we may process certain data on behalf of that organization and subject to our agreement with it.

Scope

This Policy applies to:

  • the InspectPro mobile application and related web entry points;
  • user accounts, subscriptions, and support interactions for InspectPro;
  • cloud synchronization, file storage, authentication, and account management services used to operate InspectPro.

It does not apply to third-party sites, app stores, billing platforms, or services that operate under their own privacy notices.

Information we collect

Depending on your use of InspectPro, we may collect the following categories of information.

1. Account and organization information

  • Name, email address, and authentication identifiers.
  • Company name, company identifier, work address, licence or registration details, phone number, and profile details you add to your account.
  • Role, entitlement status, verification status, and workspace or organization membership information.
  • Security-related account information such as password reset events, sign-in events, multi-factor authentication status, and account recovery activity where those features are used.

2. Inspection, report, and project data

  • Report names, structure or site names, addresses, project identifiers, workflow selections, condition and defect records, notes, observations, annotations, declarations, and generated report content.
  • Photos, sketches, key map images, marked-up images, signatures, attachments, exported documents, and related metadata.
  • Audio files and voice notes when you intentionally create them.
  • Collaboration and sharing data, such as report ownership, shared access, activity records, synchronization state, and audit events.

3. Device, technical, and operational information

  • Device type, operating system, app version, configuration details, identifiers needed to maintain sessions or secure the service, and operational logs.
  • Diagnostic and service event information used to detect errors, manage synchronization, investigate abuse, verify app integrity, and maintain platform reliability.
  • Local preference data and tokens stored on your device to keep you signed in, preserve settings, and support offline use.

4. Location information

  • GPS coordinates, timestamps, and related location context when you grant permission for location-enabled workflows.
  • Location-linked metadata for inspection photos, site verification, maps, or proof-of-presence workflows where enabled in the app.

5. Subscription and transaction information

  • Subscription tier, entitlement status, renewal state, promotional access information, and platform-specific purchase identifiers.
  • Limited billing or commercial records supplied by third-party billing providers or app store platforms to confirm and administer your subscription.

6. Support and communications

  • Emails, support requests, feedback, account deletion requests, and other messages you send to us.
  • Records of our correspondence and issue-resolution history.

How we collect information

We collect information:

  • directly from you when you create an account, fill in profile details, create reports, upload files, request support, or communicate with us;
  • automatically through the app and supporting services when you use InspectPro, sync data, authenticate, or interact with app features;
  • from your organization administrator or contracting entity where your access is provisioned or managed by an organization;
  • from third-party providers such as authentication, cloud hosting, storage, mapping, app store, and subscription platforms.

How we use information

We may use information to:

  • create and manage your account;
  • provide, operate, maintain, secure, and improve InspectPro;
  • store, sync, back up, restore, export, and share report data and attachments;
  • support offline workflows and later synchronization;
  • enable optional product features such as camera capture, gallery import, location-based tagging, voice notes, notifications, signature capture, and file export;
  • authenticate users, enforce permissions, detect abuse, and protect the service;
  • verify subscriptions, administer trials or paid plans, and manage entitlements;
  • provide customer support and respond to questions or complaints;
  • generate audit trails, logs, and operational records for product integrity and compliance purposes;
  • comply with legal obligations, resolve disputes, and enforce our agreements.

Legal bases and consent

Where applicable law requires a legal basis for processing, we generally rely on one or more of the following:

  • performance of a contract with you or your organization;
  • legitimate interests in operating, securing, and improving InspectPro;
  • your consent, including consent given through device permissions or optional feature use;
  • compliance with legal obligations.

If you withdraw a permission or consent, some InspectPro features may no longer function as intended.

Permissions and device access

InspectPro may request access to certain device features depending on how you use the app:

  • Camera and photo library to capture inspection photos, import existing images, edit media, and attach images to reports.
  • Microphone to record audio notes or voice-linked media where those workflows are enabled.
  • Location services to attach GPS context to photos or reports, support location-aware workflows, and help verify site presence when enabled.
  • File and media access to import attachments, export reports, store working files locally, and manage generated documents.
  • Notifications to provide operational or account-related notifications where supported by the platform.

You can manage many permissions through your device settings. Denying access may limit related features.

Local storage and cloud storage

InspectPro is designed to support both local device workflows and cloud-enabled synchronization.

Data may be stored:

  • locally on your device, including reports, cached files, attachments, preferences, and security tokens; and
  • in remote cloud systems, including account records, synchronized reports, uploaded media, organization data, entitlement state, and audit or service records.

Local copies may remain on your device until you remove them, uninstall the app, or clear the relevant storage.

How we share information

We do not sell personal information. We may disclose information:

  • to service providers that help us operate InspectPro, such as cloud hosting, authentication, database, storage, mapping, app integrity, notification, and subscription providers;
  • to the organization that administers your InspectPro account, workspace, or project data;
  • to collaborators or recipients when you intentionally share, export, or distribute reports, documents, attachments, or other content;
  • when required by law, legal process, regulation, or lawful government request;
  • to protect rights, property, safety, security, or the integrity of InspectPro;
  • in connection with a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate safeguards.

Third-party platforms and services

InspectPro relies on third-party infrastructure and platform services, including app stores, cloud services, authentication, storage, maps, app integrity protections, and subscription billing tools. Those providers may process certain information under their own terms and privacy notices.

You are responsible for reviewing the privacy terms of Apple, Google, and other third-party providers whose services you use in connection with InspectPro.

International processing

InspectPro data may be processed or stored in Australia and in other countries where InfraSynex or its service providers operate. Where required by law, we take reasonable steps to implement appropriate safeguards for cross-border processing.

Data retention

We retain information for as long as reasonably necessary to:

  • provide the service and maintain your account or organization workspace;
  • preserve synchronized reports, attachments, and audit history;
  • comply with legal, tax, accounting, contractual, and regulatory obligations;
  • investigate incidents, prevent fraud or misuse, and enforce our rights;
  • satisfy instructions from the organization that controls your workspace or account, where applicable.

Retention periods vary depending on the type of information, whether your data is stored only locally or also in the cloud, and whether an organization administrator controls the data.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication mechanisms, app integrity measures, and security monitoring appropriate to the nature of the service.

No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.

Your choices and rights

Subject to applicable law and account structure, you may be able to:

  • review and update profile information in the app;
  • manage certain permissions through your device settings;
  • delete local data from your device;
  • request access to, correction of, or deletion of certain personal information;
  • request deletion of your InspectPro account by following the process at InspectPro Account Deletion.

If your account or data is managed by an organization, you may need to direct some requests to that organization first.

Children's privacy

InspectPro is intended for professional and business use and is not directed to children under 13.

Changes to this Policy

We may update this Privacy Policy from time to time. If we do, we will publish the revised version here and update the "Last updated" date above.
